
Overdue Accreditation Audit Policy
To ensure proper planning and coordination of auditor travel, scheduling, and related expenses, advance notice is required when scheduling Accreditation audits.
All Accreditation audits assigned within a given calendar year must be completed within that same calendar year. The TCIA Accreditation Department will notify the company’s designated Accreditation contact(s) via email at the end of the preceding year that an audit is required during the upcoming year.
Companies are expected to schedule their audit several months in advance to ensure availability and timely completion.
Audits conducted after the required calendar year will incur a late fee of $100 per month for each month overdue.
Requests for scheduling should be directed to your assigned auditor, and the Accreditation Department must be copied at accreditation@tcia.org.
If a company is unable to schedule its audit within the required year due to extenuating circumstances (e.g., serious illness or injury), the situation will be reviewed and addressed on an individual basis by the Accreditation Department.
Audit Cancellation and Rescheduling Policy
As part of TCIA’s ongoing efforts to enhance the accreditation experience and ensure effective coordination with our auditors, we are implementing a formal Accreditation Audit Cancellation and Rescheduling Policy. We’ve updated the website to include the policy below.
To ensure a high-quality accreditation experience, auditors reserve time on their schedules and often make travel arrangements well in advance of scheduled audits. For this reason, audit cancellations and rescheduling requests require advance notice.
If you need to cancel or reschedule an audit, please notify both your auditor and TCIA in writing as soon as possible by emailing accreditation@tcia.org. Please note that telephone requests cannot be accepted.
While 30 days’ notice is strongly encouraged, once an audit date has been confirmed by both parties, the company canceling or rescheduling the audit will be subject to the following non-refundable cancellation fees:
- 10 to 4 business days before the scheduled audit date: $545
- 3 business days or fewer before the scheduled audit date: $1,090
These fees help offset unrecoverable travel expenses, reserved auditor time, and administrative costs associated with audit cancellations and rescheduling.
TCIA will continue to evaluate the effectiveness of current policies and make adjustments as needed to best serve accredited companies while supporting a sustainable audit process.
Extraordinary Circumstances
TCIA recognizes that unforeseen situations may occur. Requests related to extraordinary circumstances, such as serious illness, injury, family emergencies, or severe weather events, may be reviewed on a case-by-case basis by the Accreditation Department. Supporting documentation may be requested, and any fee waiver or reduction will be considered at TCIA’s sole discretion.
